Instructions for Creating Requests and Inquiries in the CargoLink System

Dear Users,

in order to ensure the fastest possible response time and efficient handling of your requests, we have prepared a short guide. Please match your request to one of the categories below and provide the required information. This will allow our technical team to take action immediately.

1. System Disruptions

If the system is not responding correctly or any error message appears, please prepare the following information before submitting a request:

Supporting materials – attach to the request:

  • a screenshot showing the error message or incorrect view, or
  • a video recording: a short recording showing the moment the message or error occurred (often the most helpful for non-standard issues),
  • the exact URL from the browser address bar where the error occurs,
  • the document – if the request concerns a generated PDF document.

Detailed step-by-step description – to help us diagnose and reproduce the problem, describe exactly what happened before the error occurred:

  • from which level/tab in the system did you start working?
  • What was the first action performed (e.g. clicking a button, opening a specific document, modifying a form, etc.)?
  • What data was being entered or modified (if applicable)?
  • Which click or confirmation directly triggered the error/undesired system response?

Scope:

  • does the situation affect one workstation or multiple users?
  • Does the problem occur with office-based employees or remote workers?
  • If your company is divided into branches – which branches are affected?

Recurrence: is the situation continuous or does it recur periodically? How long has it been occurring and how often does it appear?

2. Login Issues

If you are unable to log in to CargoLink, please perform and verify the following steps before contacting support@cargo.link:

  1. Check whether the system works correctly in a different web browser or on a different computer.
  2. Make sure there are no invisible characters in the login field (e.g. an accidental space at the beginning or end of the text).
  3. Use the application reset link: https://cargo.link/reset and try logging in again.
  4. If incorrect credentials are still reported after the reset, use the "Forgot password" option.

3. Request for New Functionality

Would you like to extend CargoLink with a new option or change how an existing mechanism works? In order to carry out a technical and business analysis, please describe your idea in detail according to the following points:

1. Business Purpose and Use Case

  • For what purpose and in what way will this functionality be used in your day-to-day work?
  • What problem is it meant to solve, or what process should it improve/accelerate?

2. Expected System Outcome

  • What is the exact, target result after the change is implemented?
  • Where in the system (in which tab or window) should the new option appear (e.g. as a new button, an additional selection field, a new tab)?

3. Logic and Permissions

  • How should the system respond in specific situations? (e.g. "if the user checks option X, then field Y should become mandatory")
  • Which employees or roles in the company should have access to this feature (e.g. freight forwarders only, administrator only, all users)?

4. Sample Data and Mockups

  • Please provide sample data (e.g. files, tables) that will be processed by the new feature, along with a description of the expected outcome.
  • If possible, a simple sketch, an annotated screenshot, or a flowchart illustrating how you envision this option working is welcome.

4. New Report Request or BI Modification

If you need a new report or analytical data set (BI), the request should include:

  • Data source: indicate the specific locations in the CargoLink system from which data should be retrieved (provide the names of the tabs and specific fields).
  • Handling of edge cases (discrepancies): describe what the system should do when a value is missing (empty field) or when several variants are available (e.g. values in different currencies or several different amounts).
  • Logic and relationships: describe in writing how the data should be linked (e.g. formulas, calculations on which the result should be generated).
  • Excel report template: send a sample file in .xls / .xlsx format showing the target layout and arrangement of columns and values.
  • Data sample: the sample report should contain data generated from at least 3 real documents or objects existing in the system.

Don't have a ready template? If you are not yet using any spreadsheet or tool to present this data, please let us know. Our team will be happy to prepare a custom proposal for the appearance and functionality of such a report.

5. Questions About System Operation (How to do it? How does a feature work?)

If you have questions about how a given mechanism works or how to perform a specific operation, please formulate your inquiry according to the following guidelines:

  • Indicate the exact location in the system, the name of the module, or the permissions you are asking about, so we can describe their operation in detail.
  • If you don't know how to do something, describe exactly what you want to achieve. We will point you to the existing mechanisms and features in CargoLink that will best help you accomplish the task.
